Job Description


The City of Avondale is currently accepting applications for Recreation Coordinator in the Parks, Recreation & Libraries Department

The Recreation Coordinator plans, coordinates, and oversees assigned recreation programs and services, including classes, leagues, City-sponsored special events, and related sponsorship efforts that support community use of City parks, facilities, and public spaces. This position provides supervision of full-time, part-time, and seasonal staff; manages program planning and delivery; coordinates schedules and facilities; supports marketing and outreach efforts; and assists with assigned program budgets. The role works collaboratively with internal departments, vendors, instructors, sponsors, and community partners to deliver safe, well-organized, and accessible recreation opportunities.


Essential Functions

Develops, plans, coordinates, and monitors programs, classes, and events. Determines program location, transportation (if needed), equipment and supplies, appropriate paperwork and releases; hires, trains, and supervises staff and volunteers; monitors allocated budget; researches and incorporates nationally recognized trends, ideas, and standards; develops policies and procedures to monitor the effectiveness of the programming; ensure safety protocol is followed; collaborate with other cities and agencies; assist in facility management; purchase and care for program equipment.

Supervises staff and event contractors to coordinate and plan city-wide special events. This coordination may require attracting sponsors, locating and procuring equipment and entertainment, scheduling proper staffing, and complying with policy requirements.

Provides administrative support by answering phones, interacting with the public, inputting purchase orders and petty cash amounts, ordering and maintaining supplies and equipment, and procuring equipment and supplies.

Responsible for overseeing all activity at designated locations such as parks, school facilities, ball fields, and other public facilities.?Includes setting up facilities and areas for special events, sports leagues, classes, and any related tasks to ensure the success of the programs.

Recruits, trains, motivates, evaluates, and promotes teamwork with all staff. Coordinates positive customer service experiences for program participants and coordinates frontline staff training. Answers customer inquiries by phone, electronic delivery, or in person; provides resources and information; provides registration methods accommodating all citizens.

Collaborates with school districts, non-profit groups, citizens, and other departments to coordinate and promote activities and events.

Ensures proper supervision and set up for activities at designated locations to ensure safety for all staff and attendees. This includes weekends, holidays, and evenings.

Markets and promotes citywide programs, classes, and events. Creates and disseminates marketing materials; utilizes software to maintain class information; updates information on the website and social media outlets; collaborates with other agencies to coordinate marketing efforts; produces content for a quarterly brochure. Creates social media and marketing campaigns, updates website, flyers, and email blasts to help market programs.

Assists in planning the annual program budget. Forecasts revenues and expenses for programs; authorizes payments; monitors expenditures; recommends adjustments; evaluates program performance; develops and implements procedures for improved efficiencies; seeks grant opportunities.

Prepares program evaluation reports, evaluates the effectiveness of programs, and recommends change. Performs on-site program inspections and evaluations to ensure compliance with program and safety policies and procedures. Monitors program compliance with related laws, policies, and regulations.

Supports the recruitment, securing, and ongoing management of sponsorships and sponsor relationships that support recreation programs and City-sponsored special events. Maintains professional partnerships with sponsors, coordinates sponsor recognition and deliverables, and works collaboratively to support mutually beneficial relationships that enhance programs, events, and community engagement.

Other duties as assigned. 

Minimum Qualifications

Bachelor’s Degree in Recreation, Public Administration, or a closely related profession. Work requires broad knowledge in a general profession or technical field. Master’s Degree preferred.

Three years of experience in recreation, sports, leisure class administration, and/or special events.

One year of lead or supervisory experience preferred.

Requires a valid Arizona Driver's License.  Background check.  Must be able to obtain First Aid/CPR certification upon hire. Bilingual skills are highly desirable. Certified Parks and Recreation Professionals are preferred.

Supplemental Information

Work requires the ability to read and interpret manuals, rules, contracts, purchase orders, and professional publications.

Work requires the ability to perform basic math calculations, including addition, subtraction, multiplication, division, fractions, and percentages.  

Work requires the ability to write forms, letters, sponsorships, fliers, receipts, equipment bids, and reports.

May require functioning as a lead worker while performing own responsibilities, and includes overseeing work quality, training, instructing, and scheduling work for part-time staff and volunteers.

The incumbent prepares documents and conducts research to provide information to the Assistant Director. Responsible for monitoring and tracking funding sources, revenues, and expenditures for assigned units. May also recommend budget allocations for the Division.

Work involves decision-making within established standard practices and procedures. Professional judgment and analytical skills are required to determine the appropriate course of action.

The incumbent in this position has a high degree of interaction with others both within and outside the organization. These contacts may involve similar work units or departments within the City, which may be involved in decision-making or providing approval or input. Additionally, the incumbent collaborates with individuals outside the City who may be affiliated with professional or peer organizations. Working with various state and federal agencies, as well as vendors and suppliers, to obtain information on purchases, supplies, or products may also be required. Meetings and discussions may be conducted with internal and external customers, clients, and citizens. The employee must maintain regular attendance. Ability to work in a constant state of alertness and a safe manner.
